TRANSACTIONS - Search

At any time you may want to find a particular transaction, or transactions. Searching is a quick and easy way to locate the transaction/s that you’re looking for.
You can then group or sort available data as needed.

SEARCHING

Using the search window you can isolate transactions using a number of options. For most of these search options you will need to have named and categorised your transactions. Search methods include:

  • Category
  • Account type
  • Income (and income types)
  • Expenses (and different expense categories)
  • Jobs
  • Name
  • Reminders (current or past)
  • Linked Transfers
  • Uncategorised Transactions

These options are the main criteria for how data is returned. The uses for these search options will be covered in more detail below, under ‘Search Methods’.

You can narrow your search by specifying a date range.

Date
Specify the date range that you wish to view transactions for by altering the dates in the From: and To: boxes. To view all transactions, leave From: and To: empty.

GROUPING

Grouping allows you to choose how your search results are presented. You can narrow your search by grouping by Account, Name or Job, where available. You can use these options with most of the above search options.

Account
Breaks down transactions and groups them by account

Name
Breaks the transactions down by the name given to them when they were categorized. This is especially useful for seeing how much has been earned from one source or spent at one place over any given period of time.

Job
This allows you to group your transactions based on their job code. This makes it easy to view all of your job related transactions very quickly. This option is only available with the results of a job related search.

SORTING

You can sort the results of your search, in addition to grouping. You can sort without having applied any grouping as well.

Sorting allows you to determine the order of display for your results. You can sort in an ascending and descending order, through a number of different options.
All sorting controls exist within these headings.

search

Clicking on the name of a heading will allow you to sort, based on that particular column. You can sort using the columns ID, Date, Account, and Name as available. When a header is selected as the current sort option its name is underlined. In this case we are sorting by ‘Date’.

You can switch between ascending and descending order using Sort
This works with each header that you can select (a selected header will display with the name underlined).

EDITING TRANSACTIONS

You can edit the details of a transaction by clicking on the arrow preceding it. Different transactions will display different coloured arrows.

greenarrow Represents a transaction that has been named and categorized. Right-clicking on this arrow will allow you to set these options for that transaction.

- Add a Reminder

redarrow Represents a transaction that has yet to be categorised and/or named. Right-clicking on this arrow will allow you to set these options for that transaction.
- Set Name
- Set Category
- Modify name
- Add a Reminder

You must set a name before you can set any of the other option.

blackarrow Represents a system: Wallet Allocation.
Clicking on this arrow will allow you to modify the category for that wallet allocation.

CREATING A JOURNAL

You can create a journal by using greenplus

A journal allows you to transfer money between two or more categories or accounts. It is a method to enter transactions manually, but not for accounts that you can import a statement for. There are some minor limitations on the accounts and categories that you can use.

SEARCH METHODS

All Categories, One Category

Displays transactions from all categories or for one selected category.

Assets
Allows you to view transactions based on the type of account to which they belong. View all assets, or view only bank accounts or wallets.

Liability
Allows you to view transactions based on the type of account to which they belong. View all liabilities, or view only your credit cards or loans.

Income
Allows you to view transaction that are considered income. You can view all income for a specified date range, or break down further into business or investment incomes.

Expenses
Allows you to view all of your expenses transactions overall, or break them down into categories of interest.

Job Related
Allows you to view any transaction with which you have associated a job code. You can view all transactions with a job code or select one job code that you wish to view transactions for.

One Name
Select a name to view transactions for. This is a good way of seeing how much you have earned or spent in a particular place over a given period of time.

All with Reminders
Displays all transactions with reminders, past, future and current within a specified date range.

Current Reminders
Displays all transactions with current and future reminders within a specified date range.


Linked Transfers

Linked Transfers are transfers between your accounts.
When you nominate a transfer (when naming and categorizing transactions) Budgets Get Real automatically tries to match the transaction in both of the accounts involved.

Open transfers are all transfers that you have not manually locked. When you lock a transfer you accept that both sides of the transaction (the pairs) match and are correct.

All Linked Transfers
Displays Locked Pairs, Unlocked Pairs and Open Linked Transfers.

Open Linked Transfers
Displays transactions between your accounts that have not manually been locked.

Unlocked Matched Pairs
Display both sides of a linked transfer. You can Lock Matched Pairs using the button ‘Lock Matched Pairs’. Locked pairs will not be visible in Unlocked Matched Pairs.

Uncategorised Only
Displays all uncategorized transactions.

All accounts + Uncategorised
Displays all transactions, cash purchases and uncategorized transactions for all accounts, within a specified date range.
